Bulk mailing and Email deliverability Guidelines

For sending large volume of emails you should ensure they are not spam. Spam is mail sent to end users without their consent. It has nothing to do with the content of the mail, it is just a matter of consent. To increase the inbox delivery rate of your messages, make sure that all recipients on your distribution lists actually want to receive the mail

All bulk senders must ensure that their lists are confirmed opt-ins(COI) and offer a method to unsubscribe with every mail

We’ve listed a few Guidelines for sending large volume of emails below, however please note that we can NOT actually guarantee that your email will be delivered.

Authentication & Identification

To ensure that the recipients can identify you:

  • Use a consistent IP address(es) to send bulk mail.
  • Keep valid reverse DNS records for the IP address(es) from which you send mail, pointing to your domain.
  • Use the same address in the ‘From:’ header on every bulk mail you send.

We also recommend publishing an SPF record, and signing with DKIM or DomainKeys.

Subscription

Each user on your distribution list should opt to receive messages from you in one of the following ways (opt-in):

  • Through an email asking to subscribe to your list.
  • By manually checking a box on a web form, or within a piece of software. >

We also recommend that you verify each email address before subscribing them to your list.

The following methods of address collection are not considered ‘opt-in’ and are not recommended:

  • Using an email address list purchased from a third-party.
  • Setting a checkbox on a web form or within a piece of software to subscribe all users by default (requiring users to explicitly opt-out of mailings).

Unsubscribing

A user must be able to unsubscribe from your mailing list through one of the following means:

  • A prominent link in the body of an email leading users to a page confirming his or her unsubscription (no input from the user, other than confirmation,should be required).
  • By replying to your email with an unsubscribe request.

To help ensure that your messages aren’t flagged as spam, we also recommend that you:

  • Automatically unsubscribe users whose addresses bounce multiple pieces of mail.
  • Periodically send confirmation messages to users.
  • Include each mailing list they are signed up for, and offer the opportunity to unsubscribe from those in which they are no longer interested.

It’s possible that your users forward mail from other accounts, so we recommend that you:

  • Explicitly indicate the email address subscribed to your list.
  • Support a URL method of unsubscribing from your mailing li st (this is beneficial if your mailing list manager can’t tell who is unsubscribing based on the ‘Reply-to:’ address).

Format

  • All bulk messages you send must be formatted according to RFC 2822 SMTP standards and, if using HTML, w3.org standards.
  • As per RFC guidelines the the clients Domain should have a postmaster@domain.tld and a abuse@domain.tld mailbox created to accecpt mails. Please refer to link http://www.rfc-ignorant.org/rfcs/rfc2142.php
  • Messages should indicate that they are bulk mail, using the ‘Precedence: bulk’ header field.
  • Attempts to hide the true sender of the message or the true landing page for any web links in the message may result in non-delivery.
  • The subject of each message should be relevant to the body’s content and not be misleading.
  • The domain being used to send out mail should have a Privacy Policy

Backup policy, Do you provide backups?

You are responsible for your backups and web content.

For backups that we do provide, our backups are provided as a courtesy and we do not guarantee our backups. It is recommended that you make your own backups as extra protection.

We create our own weekly backups of shared servers of accounts that are under 10gb and 50,000 inodes. We can restore your web, email and database content from those per your request. However, this is NOT a procedure you should rely on to keep copies of your content safe; we recommend you make your own backups. Our backups are made every week on a random day, and only the newest backups are kept. We make no guarantees about our weekly backups, and we do require a GH¢ 65 fee to restore the backups. If you can provide your own backup file, then the fee is GH¢ 0 (free).

Shared

We create our own weekly backups of shared servers of accounts that are under 10 GB and 50,000 inodes.

Windows Shared

We create our own weekly backups of Windows shared servers.

VPS

We do not make backups of your server’s OS or data at any time. You are responsible for maintaining the data and backups of any changes made to the OS. In the event of a catastrophic failure, we will return the server to its original configuration as quickly as possible to allow you to restore the configuration and data from the backups you maintain.

Linux Dedicated Servers

We do not make backups of dedicated servers, however, there are many options for making your own backups.

By default, new servers are set up with RAID 1, which mirrors data on two hard drives. This is not a replacement for making backups, however.

If you would like your server set up differently, or would like something other than RAID 1, please contact sales@mimohosting.com and we can assist you in setting up an appropriate solution.


What if my account was suspended?

If your account is suspended less than 1 week before we run backups, your account will still be backed up!

If you are suspended for more than a week when we run backups, your old backup will be erased and you will not be included in the new backups. Thus, we will have NO backups for your account. So, it is very important that you maintain your own backups.


How do I restore my own backup?

A partial backup (home directory backup) can be restored in cPanel, the same place where you made the backup.

A full backup must be restored by the root user for the server. We will restore your full backups for free.

Will you place ads on my site?

Darrel Technologies will NOT place ads on your site. That is one of the many advantages of having a paid host.

We do have a default 404 page that can be replaced in a few seconds with your own. We recommend doing this to help maximize your traffic. A 404 page is what loads when someone visits a page on your site that does not exist. If you aren’t sure how to apply your custom 404 page to your website, please visit our page on

Will my existing email accounts be transferred over as well?

If your previous hosting company uses cPanel, then we can migrate your current email boxes and messages.

Otherwise, we will NOT be able to transfer any email accounts. In this case, we recommend you archive your old emails and create new mail boxes with the same names at your new host.

How can I archive my emails?

The fastest method is to setup a POP3 connection via Outlook or another mail client. As soon as you receive using POP3, every email received is permanently saved to your computer.

Why don’t you allow overselling ?

Overselling means offering more resources than possible to allocate. A common example of this is selling hosting with Unlimited diskspace and Unlimited bandwidth.

Almost all reseller’s offering overselling start out the same. Clients have great uptime, servers are fast etc. As more time goes by the server becomes more and more filled from resellers using what they purchased and downtime gradually gets worse. People who purchase reseller plans with overselling enabled are going to use all of their disk space and bandwidth given enough time. The host has no control over future growth.

If you want to enable overselling, you need a VPS or dedicated server, but remember you can only fill the server with so many sites before the CPU and RAM become overloaded.
